How the R3-Online software helps you at every stage of the furniture recycling process.


The R3-Online Package is made up of 2 complementary parts:

  • Software – a secure internet portal, from which you can add and extract information about every part of the furniture recycling process from any location
  • AIMS Technology – handheld devices based on a barcoding system, used to label and scan each piece of furniture through the donation, collection, refurbishment and sales and after-sales stages

When furniture is donated

The R3-Online software means your donors can be easily found in the system by searching a number of criteria, such as phone number. If this is the first donation they have made, setting them up in the system is a simple process.

Scheduling collection of furniture

R3-Online makes the scheduling collection of donated furniture simple. The system uses a calendar to highlight when collection slots are available and also considers the size of the items being collected and whether there is enough room left in the van for that particular run. The scheduling information can be updated by your drivers if required, harnessing their local knowledge and the final schedules can then be automatically produced each day.

Gift Aid donation letters

When each collection of WEEE or used furniture is added to your system, an associated Gift Aid letter is automatically produced for signing by the donor. Having a copy of this stored online in addition to the hard copy and the simple tracing of items through the system helps our clients collect up to 25% more gift aid than they collected previously.

Unloading items and barcoding

When the donated items are unloaded at your collection bay, the AIMS technology (using a combination of handheld scanning device and barcodes) can be used to label each batch – which is the key to being able to trace any item through the system at any time. By putting the AIMS scanner back in its dock, tailored barcodes are produced for every item.

Processing items through refurnishing

Each item can have its barcode scanned as it moves through each stage of the refurnishing process, from fixing, to cleaning, to the PAT testing of WEEE. The benefit of this is that you know what’s coming into your sale rooms, and how long it is until items are ready. As the industry can have high staff turnover, the intuitive, consistent process facilitated by the technology makes using the system easy and builds transferrable skills for the users.

Logging items onto the sales floor

When the items have been refurnished, they can be scanned onto the sales floor. If you operate multiple shops there is the added benefit that you can search for the items across sites. This means that you know, for example, that if you don’t have a particular item at one site, you may be able to sell an item from another site.

Once an item is sold

Scanning the item with the AIMS technology automatically prints an invoice and stops the item from being double sold, a problem many reuse organisations occasionally experience.

After sales

In the instances where a sold item may need re-collection, a discretely placed barcode can be re-scanned to trace the product back to the donor, the stages of refurbishment it went through and by which site operators. This can be used to tighten quality management and reduce instances of faulty product making it into the market.
